Board of Directors Report
2014 2015
Office: Southeast Regional Director Chapter: Upsilon Phi
Goal: Preside over meetings for the Southeast Region and observe that Regional officers and committee
chairpersons perform their duties
Communicate electronically and via telephone with the members of the SER Officers and some committee chairpersons as needed.
Actively preparing for the 62nd Southeast Regional Conference in Montgomery AL.
Visited the site for the 63rd SERC in Hilton Head SC and signed contract.
Goal: Represent the Southeast Region at appropriate activities
Attended the Fall Board of Directors Meeting in St. Thomas VI.
Attended the Fall Board of Directors Meeting in Anaheim CA
Attended the 25th Anniversary of Rho Eta Chapter, Selma AL
Attended the 25th Anniversary of Sigma Eta Chapter, Montgomery AL
Attended Pi Chapters 8th Annual Scholarship Luncheon
Attended South Carolinas Connect the Dot Program in Sumter SC
Making preparation to attend the NE and MS Regional Conferences
Goal: Appoint Southeast regional committees, chairpersons, appointed officers
SER committees and chairpersons were reviewed and appointed
Serve as a resource to chairpersons and officers as needed
Goal: Disseminate all pertinent information from national and regional to chapter Basilei within the region.
Forwarded communications from national to chapter Basilei
Conducted conference calls bimonthly for information dissemination
Objective: Utilize principles of transformational leadership to develop global nursing leaders.
Communicated with Southeast Regional officers, Chapter Basilei and committee chairs regularly regarding progress towards goals for the region and need for assistance.
Objective: Revisit the structure and function of the Region.
Participated in the Regional Directors conference call with Supreme Basileus
Region filed IRS Form 990.
Moving toward incorporation and group exemption.
Refined Regional program to ensure alignment with National protocol
Emphasized to chapters the importance of having Event Insurance for big chapter programs, obtaining own 501c3, executive board liability insurance and filing 990s form with IRS.

Office: Southeast Regional Director-continued
Objective: Increase membership
Challenging each chapter in the Southeast Region to host at least one reclamation activity; with a goal to reclaim at least one member.
Working with the Chair of the Southeast Region Expansion Committee, Technology Chair and National Organizer to reactivate inactive chapters and pursue interest for new chapters in the region.
Serve as a resource to chapter regarding membership questions as needed.
Try to discover the real reason why members are becoming inactive.
Encourage two way dialogue with inactive members.
Stress to chapters the importance to listen to what members have to say and offer.
Objective: Restructure the relationship between graduate and undergraduate chapters.
Adopted National process to align undergraduate with graduate chapters in the roster
Oriented the 2nd Assistant Regional Director (Undergraduate member) to assist with the enhancement of the Beta members.
Approved the Beta Round Up at the upcoming Regional.
Appointed a Beta Coordinator.
Objective: Increasing membership of undergraduates to graduate chapters
Tracking the number of Betas graduating
Tracking the number of Betas crossing over to graduate chapters
Keep an open dialogue with the Betas to help encourage their transfer into the graduate chapter.
The Southeast Region Back to Basics through LOVE will enable the SER to meet the goals of Chi Eta Phi Sorority, Inc.
Mabel Keaton Staupers stated very eloquently in her book No Time For Prejudice that the nursing profession has no time for prejudice for disease knows no man-made barriers, neither does it recognize such
factors as racial, religious or ethnic origins. We should all be working together for a common goal and
LOVE one another.

2014 2015
March, 2014 Attended the SER conference in Destin, Fla., including the post board as First
Assistant SER Director for 2014-2015
October, 2014 Executive Committee Conference Call to discuss region, website
status, regional jackets, online registration, Connect the Dots, and
status of 501C3 for sorority; discussed cost of regional and strategies to improve
finances.
Attended Founders Day with Sigma Chi Chapter at GTTC in Greensboro, NC, along with Chi Chi Chapter of Winston-Salem, NC; the Beta chapters also
attended from Greensboro and Winston-Salem
November, 2014 SER Executive Committee Teleconference with SER Director
presiding
December, 2014 Tele-Conference with National Continuing Education Planner Soror Killian
regarding submission process for chapter. Updated forms were received.
Submitted nomination form for first assistant SER director to nominating chair
Conference with SER Director regarding AKB tickets for chapters. Ticket scanned
and sent to director for printing for chapters.
February, 2015 Tele-Conference with Carlon Mitchell concerning CEU packet information and
fees for late request. Cost $100.00 for the continuing education for regional
conference.
Conference with SER Director regarding AKB tickets for chapters- still not
obtained yet for distribution. SER Director got tickets done and distributed to
chapters for regional conference.
March 1, 2015 Mailed hard copies to Carlon Mitchell for approval by national.
March, 2015 Programs and Projects committee teleconference planned before regionals.

Madam Regional Director, Regional officers, Sorors and Fraters, the summary of activities for the
Southeast Regional Grammateus/Epistoleus are as follows:
DUTIES:
Make an Annual Report of Official Activities at the Annual Meeting
Prepared Grammateus Report for the Book of Reports for 62nd Southeast Regional Conference which
includes duties from March 2014 to February 2015.
Record the Regional Minutes and Send Copies
The minutes for the 61st Southeast Regional Conference were prepared and emailed.
Compile and Preserve a Record of Membership Containing the Names and Addresses of All
Members of the Southeast Region.
Preserved the copies of the chapter rosters received.
Updated the list of addresses of Chapter Basilei based on information available. Emailed 2014-2015
Directory to Executive Committee, Chapter Basilei, Beta Sponsors, Committee Chairmen and Members
at- Large as compiled from information submitted by chapters. Directory also included Members-at-large.
Complete Correspondence Connected with the Business of the Region at the Direction of the SERD
Sent correspondence to Executive Committee and chapter Basilei on behalf of SER Officers and
Committee chairmen.
Sent email correspondence to region to inform them of a Fallen Limbs (death of members) within our
Region.
Sent correspondence to region to inform them of when a member within our Region experienced a
Fallen Limb (death of a family member).
Sent a card of condolence with poem A Fallen Limb inserted on behalf of the Region to the family of the
following members:

Received a card of condolence from SER Chapters and individual members on the loss of:

Give Notice of the Annual Meeting to Each Chapter and Members-at-Large
Prepared and emailed the Call to SER Conference with required deadline dates, forms needed by chapters
to the Executive Committee, Chapter Basilei / Beta Sponsors, Committee Chairmen and members-at-large.
The mailing included the SER Yearly Checklist, SER Credentials Form, Necrology Form, SER Committee
assignments and a Directory.
Letter of information sent to Executive Committee, Chapter Basilei / Beta Sponsors, Committee Chairmen
and members-at-large concerning online registration, hotel information, and host chapter invite and
activities. The letter also included an attachment of the financial reporting form and vendor instructions.
Forwarded SERD service letter to Executive Committee, Chapter Basilei, Committee chairmen and
members-at-large.
Compile a Book of Reports for Distribution at the Annual Meeting
Prepared Workbook to be distributed to each member registered for the Regional Conference. Compiled reports received from SER Officers and Committee Chairpersons and ensured printing of the
2015 SER Conference Workbook and Book of Reports for Executive Committee and members who paid
fee for purchase of Book of Reports.
Prepared and secured printing for the Workbook and Book of Reports.
Serve on the Registration and Credentials Committee
Made myself available to Registration and Credentials Chairperson to assist with 62nd SERC registration.
Will serve at the 62nd Southeast Regional Conference.
Other Tasks/Activities
Attended and presided at the 61st Southeast Regional Conference held March 2014 in Destin, Florida as the
Southeast Regional Grammateus.
Presented spiritual devotion to Faith Nursing Home and donated supplies with Upsilon Phi Chapter to residents on May 8, 2014.
Compiled and sent volunteer list for SER committees to SERD.
Compiled and formatted appointed committee list for 2014-2015 SER committee list and sent to SER
Executive Committee, Chapter Basilei, Committee Chairman and Members at large.
Conducted ongoing email and telephone communication with the SER Director.
Attended and participated in the South Carolina Connect the Dots program on January 23, 2015 in Sumter,
South Carolina hosted by Phi Phi Chapter.

2014 2015 Madame Regional Director, National Officers, Regional Officers, Sorors, and Fraters, a
summary of activities is as follows:
March 19-23, 2014 Attended the 61st Annual Southeast Regional Conference, Destin,
Florida. Functioned as the Southeast Region Tamias
Participated in Kidney Health Fair at Kroc Center, Augusta, Georgia
Attended various seminars and workshop on nursing t/o the year.
May 2014, attended Epsilon Celebration for 75 Years
September 2014, successfully completed the Sexually Transmitted Disease Intervention Course
in San Antonio, Texas
Coordinated incoming and outgoing funds for 2014; working closely with Audit Committee
Chairperson in obtaining appropriate vouchers, receipts and signatures for reimbursements and
payments via postal mail, telephone and electronically.
April 25, 2014, attended Nurse Showcase Annual Celebration, Augusta, Georgia
Donated to incarcerated male youths in Augusta-Richmond Youth Detention Center, Augusta,
Georgia for Christmas with my local Chapter, PHI CHI.
Performed blood pressure screenings at my church.
October 2014, participated in vaccinating 9,020 people in Flu Campaign at Fort Gordon,
Georgia
Financial Report: All funds have been deposited in Regions Bank. Certificate of Deposit (CD)
remain at Wachovia in the amount of $ 2,681.34 (as of July 2014) and the investment account
with American Century Investments in the amount of $28,753.26 as of December 31, 2014.
Participated in all scheduled conference calls with the SERD and Executive Officers
Selected to Chair Finance & Budget Committee and we are seriously working on a Proposed
Budget as of March 3, 2015.
Financial records have been submitted to a CPA and waiting report.

BYLAWS COMMITTEE REPORT

Section 5. Bylaws Committee shall: a. Consist of at least five (5) members.
b. Receive proposed amendments to SER bylaws submitted by the membership.
c. Review the bylaws in the even year for inclusion of proposed amendments or
revisions and adherence to national bylaws.
d. Prepare and distribute proposed amendments/revisions to each chapter at
least thirty (30) days prior to the annual SER meeting.
e. Prepare a report to be presented at the annual SER meeting and submit to the
Grammateus by 30 January of the year to be included in the book of reports.
f. Submit adopted bylaws to National Bylaws Committee Chairman for approval
every two years on the odd year or whenever changes are made. Submit no
later than ninety days after adoption.
g. Send a copy of the regional bylaws to the Grammateus for distributions to the
membership by the chapter Basilei.
Activities: 1. Email sent to all members of the Bylaws committee, Members at large and chapter Basilei
to have members review the SER Bylaws and submit proposed amendments.
Little response received from chapters.
2. Teleconference held with a review and discussion of all proposed amendments.
3. Minutes of teleconference emailed to all member for review and approval.
4. Proposed amendments to be presented at SER conference emailed to all SER Bylaws
Committee members, each Chapter Basilei and Members at large and SER Grammateus.

Comments: 1. Those who are dealing with the registration table should not be rude to Sorors. 2. Registration did not start on time, which caused a back up at the Registration desk when it finally started. 3. I did not receive the workbooks in a timely manner. I did not get the workbook until Friday night after 7pm.
PLENARY SESSION:

Comments:
1. Seating by States is Chaotic. 2. Chapters should be seated in Alphabetical order. 3. Breaks were rushed. Not enough time to go the Ladies room and get a snack before the break was over. 4. Adequate time was not given for the Dessert Reception during the break. 5. The room was too cold. 6. Not enough time was given for discussion before voting on matters. It seemed as if the chair was bothered or
annoyed with all the questions and cut Sorors off.
7. Life Member Chair should have been able to give the count for Life Members especially in the SE. 8. An Audit Report was not done. Report that should have been adopted was a financial Review Report. 9. Be prepared to present issues for voting with an explanation to vote or against. 10. Remind sorors to be kind and courteous, always wear a smile. 11. Sessions were great, we were able to accomplish a lot during the first Plenary Session.

Comments: 1. I always enjoy SER and will continue to attend. 2. Excellent job, host chapter! 3. The Protocol chair was inappropriate. Members signed up to be on the Protocol Committee for a
reason. The Protocol meeting was held and she never showed up. Someone had to find her after the
committee waited for 20-25 minutes. When she finally showed up after someone having to go get her
she stated she created her own committee and we were dismissed. How unfair is that? The sorors
printed in the book did not serve.
4. Delegates should be seated by Chapter in Alpha order not by States. 5. The SER Choir needs a lot of work.
6. I could not log in to the website to down load the reports. I also couldnt reset my password. 7. We need more venders. 8. Seat chapters together (pre-assigned) for Anita K. Bass Luncheon to avoid saving seats. 9. Hotel staff was very courteous, the hotel was great. 10. We need a 30 minute break with we are serving heavier refreshments in the afternoon. 11. I enjoyed the conference and especially the relaxed atmosphere of it all! Yea Betas!! 12. Provide bottle water, tea, coffee at all meetings.

4. If I could delete one thing about the current SER conference format, I would delete: 1. Having to wear specific colors for Opening Session. 2. Seating for Anita K. Bass Luncheon- having a seating arrangement by Chapter.
3. Rudeness of Philactor. One seasoned Soror was unnecessarily scolded for bring food into the session.

6. Dietary consideration: Focus on coordinating meal, i.e., if you have an Asian meal ensure
soy sauce is available.
5. If I could add one thing to the current SER conference format, I would add: 1. Better food at the Anita K. Bass Luncheon. 2. Making sure complete material is placed in the conference bag before the registration begins. 3. Some entertainment in the evenings. 4. Have one day where the session does not start until later. 5. Offer more educational sessions. 6. Please add a physical component to the future conferences. Our nurses need to move more. 7. A family networking activity. 8. Shopping trip to outlet. 9. Deadline for pulling Raffle tickets. 10. Please assure all things needing a vote from the body are explained/rationale to the body. 11. Meeting every other year after 2020 as this would give everyone time to adjust to the pending change. 12. Down time to allow you to do other things in the area.

1. To network across the region in pursuit of professional nurses informing them of Chi Eta Phi Sorority, Inc., the Professional Nursing Organization.
2. To collaborate with the regional expansion committee members in establishing strategies for recruiting interested prospective professional nurses regarding
organizing a chapter in city/state where there are no active Chi Eta Phi Sorority,
Inc. chapter.
3. To advise the National Organizer of any interested prospective professional nurses within the region that inquiries about establishing a chapter in city/state where there
are no active Chi Eta Phi Sorority, Inc. chapter.
4. To communicate/attend teleconferences with the National Organizer as needed/when advised.

2014 2015 Purpose:
The Technology Committee is responsible for:
Develop a SER website
Monitoring and maintaining information on the SER website
Collaborating with the SERD on material content placed on the website and working with the National chair/Webmaster as needed on matters regarding the website
Assisting with technology needs for and during the SER conference
Update on status of SER website:
Some issues have occurred with the website such as loss of site due to failure of updating bill payment
and inability to log on to site. The webmaster was notified and the problems were resolved. This remains
a work in progress. As the sorority gets accustomed to online registration and communication, the process
will improve.
There is concern about the amount of funds needed at each conference for audio-visuals. The cost has
escalated up to approximately $9,000.00 at some facilities. The budget does not support such a cost.
Recommendation:
Strategies must be discussed in order to meet the audio visual demands in the future so the sorority can
meet the needs of its constituents without financial difficulty.

The Awards Committee is responsible for:
Receiving and reviewing applicants for regional awards
Sending information to chapters regarding deadline for submitting applications for the Beta Image Award, the Beta

Sending information to chapters regarding deadline for submitting applications for the Soror/Frater of the Year which
is done in the odd year.
Reviewing applications and making recommendations to the Regional Director
Meeting with the credentials committee during the SERC and prior to the Anita K. Bass luncheon to determine the
highest number in attendance and the greatest percentage of chapter members in attendance for the Graduate and
Undergraduate chapters
Presenting awards at the Anita K. Bass luncheon
Goals:
1. Give recognition to Graduate and Undergraduate chapters in the Southeast Region that continue to support the
Southeast Region through attendance.
2. Recognize Beta Chapter members whos Academic Achievement have been exemplary and evident by GPA.
3. Recognizing the Graduate Soror/Frater of the year.
Purpose:
1. A letter of information was sent to the Graduate Chapters, Beta Chapters or Sponsors and the committee members by
email.
2. Awards and criteria were identified for the upcoming year with deadlines for submission included.
3. Entry judging will take place at the SER Conference.
4. Recognition of Chapters and Betas will take place during the Anita K. Bass Luncheon.

Madam Regional Director, Regional Officers, Sorors and Fraters, the summary of activities for the
Southeast Region Music Committee are as follows:
Attended and participated in the 61st Southeast Regional Conference.
Communicated with the Regional Director regarding the expectations for the choir during the 62nd SER Conference. The SER Director discussed the availability of a keyboard for the choir.
Prepared music with lyrics for the choir members to perform during the 61st SERC.
Prepared music folders for choir members to utilize during the 61st SERC.
Communicated with the SER Chaplain regarding the selection of songs for the Memorial Service.
Communicated with the SER Chaplain regarding the selection of songs for the Praise and Prayer Breakfast.
Solicited pianist for the 61st SERC in the absence of Soror Bernice Bogan. Two Sorors rose to the occasion and were great musicians and I thank them for their assistance, those Sorors were Sorors
Gloria Lane and Marilyn Scott.
The SER Choir Members were most cooperative for rehearsals and performed in a spiritual, professional and exceptional manner.
I would like to thank the members of the SER Choir for their dedication, dependability, and commitment even in the absence of our beloved Soror Bernice Bogan. We strived to make her
proud.
