1. Corrections can be made to online student entries via the online system without penalty (change voice parts). Deletion of a student will not result in the removal of the entry fee.
2. Students may be ADDED however it will result in an additional 100% student late fee (the entry fee will be $30)
3. If you have entered NO students and enter within this time frame, every student entered will be charged $30 entry fee. As campus fees are not collected for this audition, no additional penalties will be assessed. IN ADDITION to these additional fees, the registration website will also AUTOMATICALLY send this INFORMATION TO THE STATE OFFICE AND initiate the TMEA GRIEVANCE POLICY. (See the TMEA grievance policies)

The accompaniment CDs, as well as the part tracks, are now available at a cost of $10.00 per copy. If you plan to send your students to the audition, please buy an audition CD now to help them prepare. The CDs may be duplicated as necessary for your students’ use. Please buy only one CD for your school and do the duplication yourself. We have tried to make sure that the part tracks are as accurate as possible, however, we, too, are human, and even sometimes make mistakes. Check the parts to make sure they are satisfactory to you. If they are not, feel free to make your own.
Director Expectations
1. Once your students are entered in the audition, you are required to participate/judge in all auditions. This is not optional. Please don’t ask to be excused from judging because of personal or church functions. If you enter students, judging is part of your job. If you cannot or do not want to judge, then don’t enter students. As audition judging needs are based on original entries, your obligation to judge does not terminate even if you withdraw all of your students before the audition date.
2. If you have students make the All-Region Choir, you are required to attend the
Clinic/Concert and to supervise your students the entire time they are involved with the event.
3. In case of an emergency or unforeseeable circumstances, you must secure a
qualified proxy judge and inform the Region Chair immediately. The proxy judge must be a member of TMEA and not be a person that we are already counting on to judge, such as an assistant director or voice teacher. It is the responsibility of you, the director, to pay the proxy judge. The going rate is $75.00/day.
4. Please arrive at auditions/judges meetings early.
5. Inform the Region Chair of DNA’s as early as possible. This will help the audition
run as efficiently as possible, help speed up the judging process, and will keep Region costs down on copying and hiring of extra judges.
6. Display professional and courteous behavior during auditions. This includes
keeping the identity of students auditioning confidential.
7. Teach your students the rules of auditioning. No cell phones or any electronic sound equipment is allowed in the audition.
8. Provide transportation to the audition. If school transportation is not provided,
make sure your students know how to get to the audition site.
Entry Procedures All entries must be done via the online system. If your school is not online, please make arrangements with a friend or colleague to send in your entries. Please take the time to familiarize yourself with the procedures. You will find a copy of the Online Entry Instructions in this handbook.
1. Please input student names carefully and accurately. The way names are entered for the audition will be the same way they are posted in the concert program (for those students making the All-Region Choir.)
2. Students must be entered either as Soprano I, Soprano II, Alto I, Alto II, Tenor I, Tenor II or Bass I.
3. Deadlines for computer entries/hardcopies of entries is September 30, 2011. No Exceptions!!! Please make every effort to get your entries in by the deadline. There are new penalty fees in place for late entries/edits. Be aware of this. In order to ensure that I receive a hard copy of your forms, use a return-receipt form from the post office.
4. Region V has voted to no longer excuse athletic events at the district level (this includes tournaments) from any part of the clinic or concert. SAT or PSAT will still be excused according to the state level TMEA rules. Please inform your students!
5. The following should accompany your hardcopy entry: a. Entry Form from the handbook
b. Signed contract for each student entered
c. Copy of the official Entry Form (printed online)
d. Check or Money Order for fees Entry forms and contracts are due by the September 30th entry deadline. Your check/money order may be turned in after the deadline. However, the fees (for every student that you originally enter on September 30th )
must be in by the day of the audition.
General Rules
1. In order to have a student participate in the audition, a director must be a member of TMEA at the time of the audition. You will not be permitted to enter students via the online system without a current TMEA member number. TMEA now takes 7-10 business days to process membership information. They will not accept “emergencies,” so please plan ahead. You can renew your membership online at www.tmea.org.
2. Each director is responsible for entering his/her students by the region’s announced deadline (Friday, September 30, 2011)
3. If you are at a school with two directors, enter all entries from your school under the same director and school name. Failure to do so may result in the accidental omission of some of your students.
4. Each director shall be responsible for fulfilling his/her audition assignment as set forth by the Region Chair.
5. Each director and student shall abide by the TMEA Eligibility Requirements for activities of the Texas Music Educators Association.
6. Payment by money order, school check or director’s personal check is the only acceptable form of payment for your entry fees and is due by the day of the audition. Region V will no longer accept checks from students or parents due to a significant number of returned checks in the past.
Audition Procedures
No substitutions will be allowed after Friday, October 7, 2011. However, please continue to call in DNAs as this aids to accelerate the computation process on the day of the audition. My school number is 682-867-5717 (to talk to me directly); cell number is 817-907-2746. Please do not call after 9:00 p.m. Communication via email is preferred.
Student audition order is assigned randomly. Please inform your students that auditions are not first come, first served.
Auditions will be solo with recorded accompaniment, which is available from the Region Chair. Students must use original copies of the music at the audition. Photocopies are not allowed.
Judges will be shielded from the auditionees with a screen. Only judges and monitors will be allowed in the audition room when a student sings. Students are encouraged to leave the audition site after they audition. Results will be
posted at the conclusion of the auditions. No student sound devices or headphones are allowed at the audition.
Students will be disqualified for unruly behavior, including, but not limited to, loud behavior, refusing to follow instructions, and obscene or gang-related language or gestures.
Please enter only students who are PREPARED!! This will help us to ensure a timely audition schedule.
Students will audition on one of the following voice parts: Soprano I, Soprano II, Alto I, Tenor I, Tenor II, or Bass I. Girls must audition on only the Soprano, Soprano II or Alto parts. Boys may audition on any part.
Selection of Students
The top 25 Soprano I, Soprano 2 and Altos will make the Concert Treble Choir. The next 25 Soprano I, Soprano 2 and Altos will make the Honor Treble Choir. The top 25 Tenor 1, Tenor 2, and Basses will make the Concert Tenor-Bass Choir. We are thrilled to have the following clinicians for this year’s Region Choir:

Region V MS/JH All-Region Choir Commitment Contract The following dates are required for All-Region Choir Members. By signing the commitment contract on the next page, students and their parents or guardians agree to participate fully in all three parts of the All-Region process – audition, clinic, and concert – if the student is selected and remains academically eligible. Region V asks that you carefully check your calendar for each required date before you begin the audition process. Students will only be excused from part of the clinic or concert if they are taking the SAT, for UIL or TMEA events at the region level or higher, or in the case of serious emergencies. District or bi-District athletic games, meets or tournaments will not be excused. These rules are designed to allow each student to gain the maximum benefit from the entire All-Region Choir process.
