Western Los Angeles County Council’s 2008 Popcorn Campaign Western Los Angeles County Council is committed to supporting units through a comprehensive popcorn campaign in 2008. Our focus is on serving our Unit leaders by providing them one fundraiser so that they are able to strengthen their PROGRAM, not focus on fundraising. Our goals are ambitious, exciting and attainable by implementing changes that will help us meet those objectives.

Intended Results: The popcorn campaign is more than just a fundraiser; it is a great tool to provide a “QUALITY” program for your Unit. We know, through research, these results will follow if the campaign is utilized for its intended purpose.

Membership: Increase in youth membership as Units and leaders are committed to delivering a “QUALITY” program instead of fundraising.

Volunteers: Increase in parental support as they gain a better understanding of the Unit and

the programs it provides youth. Popcorn: Sales increase as leaders understand the benefits and ease of one fundraiser,

administered by the Council, in support of their Unit program. WLACC provides the training required to execute a successful sale.

Means by which to achieve intended results:

1. Increase the dollar amount of the youth selling 2. Increase the number of youth selling 3. Assign a goal for the unit and Scouts 4. Having some fun along the way!

It’s Possible:

Las Colina’s Troop 127 grew its sale in 2007 to $32,970. Troop 127 was recognized nationally by Trail”s End popcorn for ranking #3 in sales among troops in the nation.

Leader Training

The Popcorn Sale: Six Steps to Success! Follow these steps to help your popcorn sale heat up and explode!

1. Establish an annual Program Plan and Budget, with input from your Scouts and Parents.

2. Set a Unit Popcorn Sales Goal, and set per-Scout Goals to meet the Program plan and budget.

3. Conduct a Unit Popcorn Kickoff to: • Communicate the goals to the Scout families • Outline the plan to succeed • Get everyone excited and confident

4. Practice role-playing with the boys on the proper selling techniques (the script to be used at the sale) and

safety.

5. Sell in the neighborhoods using the following methods: • Take Order • Show & Deliver • Utilize “Blitz Days” throughout the sale • Track which neighborhoods have been covered

6. Have unit prizes/incentives for the Scouts to earn.

Try the following ideas:

• Give a gift certificate to the 1st week top seller

• All Scouts who reach their sales goal get to throw pies in the leaders’ faces • A pizza party for the top selling den/patrol • Have a prize drawing for all the boys who fill up a take order form • Monitor the sales each week and give awards as you go • Offer a mystery house and clues throughout the sale neighborhoods yet to be covered

The Unit Popcorn Kickoff: Five Steps to Success!

Follow these 5 steps for a Successful Unit Kickoff!

1. Preview this year’s Scouting Program and explain to the families how the entire program can be funded with one fundraiser, the Trail’s End Popcorn Sale.

2. Communicate the per-Scout Popcorn Sales Goals. Have the boys write their goals on their Take Order

Forms. • Explain the sales methods to be used for reaching the sales goals, have the families write down

the dates for the blitz days. 3. Ask those who have successfully sold popcorn in the past to explain how and talk about their experiences. 4. Review the Trail’s End National Prize Program including the $1,500 Prize and $2,500 Scholarship

Programs. Provide special prizes for the: • Top Seller • Top Selling Den or Patrol • Scouts who reach their Popcorn Sales Goal

5. Do a skit or fun activity to get the boys trained and excited about the sale, and to teach them about Safety

while selling.

How to Sell: Two Proven Methods

Show & Deliver: Door-to-Door

What is Show & Deliver? Selling door-to-door with product in-hand or in a nearby car allows Scouts to make the sale, deliver the product, and collect the money all in one visit. No more multiple visits to the same house to complete the sale.

Why Do Show & Deliver? • Most productive use of a family’s valuable time. • Sell, Deliver, and Collect with one visit to the house. • A Scout can sell 5 x as much product vs. Show & Sell. Using the Show & Deliver method, individual Scouts

have averaged as much as $225 an hour in sales. In comparison, Scouts conducting a Show & Sell sale at a shopping center had combined sales of $130 an hour, or $43 an hour per Scout.

How much product should each Unit order? Units are encouraged to order 50 -70% of the previous year’s product total for their first delivery. Any remaining product can be used for the Take Order Sale, meaning there is no risk of Units being stuck with additional product. Please avoid over-ordering as the Council may not return excess product to Trails-End.

How to Do a Show & Deliver? • Scouts go door-to-door with their Take Order forms. • Parents accompany the Scout(s) with a supply of product in their vehicle. • Upon completing the sale, the Scout offers the consumer an opportunity to purchase and take the product

right away, or informs the consumer that he will be back in a few weeks if the consumer does not want to purchase product immediately.

• Scouts make all deliveries to fulfill all orders and collect the money. • Many Scouts will contact consumers who have previously purchased and received product, seeking repeat

customers. • Always emphasize safety. Review the safety information provided in the sales materials and on the Trail’s

End web site at www.trails-end.com.

SHOW & SELL: Store Front/Public Gathering

Pre Show & Sell • Contact the store or event organizer to gain permission and to set up times and dates. • Set up a schedule for boys with specific times of participation (i.e. 2-4 boys per 2 hour shift). • Gather pictures of events you have participated in or are planning to attend. People are more apt to

purchase if they know the money is being used for Scouting activities. • Make banners for advertisement and point of sales excitement (a great craft activity for a den or pack

meeting). Sometimes the stores will advertise the sale on their store sign. Ask if this is feasible. • Have the boys practice what they are going to say to their potential customers.

Show & Sale Day • You need to have these items: chairs, posters, activity displays, tape, popcorn samples, and sample cups. • Advertise the Take Order dates. • Make sure the boys are in their uniform. • Product samples for people strolling by. Quality sells the highest priced products. • Find a location that has high foot traffic and is safe for the boys to participate. • Clean up before departing.

What to Say • Focus on Scouting instead of the product – i.e. “Would you like to support Scouting by purchasing popcorn

today?” “Would you like to help our scouts go to camp by purchasing popcorn today?” • Be specific on what the money is to be used for. People will be more willing to purchase if they know

where the money is going. • Always mention Scouting. • Always say “Thank You”

• Trail’s End and FedEx / Kinko’s have partnered together to provide a new channel for Units to further promote their Sale with customized Sale Posters, Banners, Yard Signs…Units will have the ability to purchase these items online or at any of the 1,200+ store locations across the Country and best of all each piece can be customized to their specific Unit.

• The FedEx / Kinko’s locations will also have the Family Sale Guide / Take Order Form files for each Council in their online Library so Units and Councils that have a need for a “few extra forms” can fulfill that need quickly.

Trails-End.com / Trails End online

Use this site to place Product and Prize Orders, print Invoices, and to find other resources for the Unit Popcorn Sale

Each unit participating in the Fall 2007 Popcorn Sale will receive from the council a username and password to be used at the Trail’s End site: www.trails-end.com. Contact Colette Taylor at (818) 933-0104 for a password if you do not currently have access. Units can then add additional users, place orders for popcorn and prizes, as well as print invoices and other reports. To Set-Up Your Unit Account at Trail’s End

1. Go to the Trail’s End web site at www.trails-end.com 2. Click on the tab for “Leaders” 3. Click on the link for “Popcorn System” 4. Log in with your username and password

Approving Scouts Online Orders (Optional – for units that have entered Scout’s names)

1. Click on the tab “Scouts” 2. Go to “Scouts Orders” 3. Click on the order form tab next to each Scout’s name to view and approve each order.

* Units will not be able to submit their orders if there are unapproved Scout orders. Ordering Popcorn

1. Click on the tab “Orders” 2. Click on the link for the time frame you are ordering:

• Unit Order for 9/6 Pick-up (Orders due 8/20) • Unit Order for 11/1 Pick-up (Orders due 10/19)

3. Review the “Actual Order to Council”. Adjust quantities using the multi-colored column. 4. System will total your order. 5. Click on “Save Changes” to update your order. 6. When ready, click on “Submit to Council”

Ordering Prizes

1. Under the “Orders” tab click on “Scout Prize Order” to view any prizes ordered by Scouts (If applicable)

2. Click on the “Unit Prize Order” and enter your shipping address 3. Enter prize quantities and click on the “Save Changes” 4. When ready, click on “Submit to Council”

Reports Click on the “Reports” tab to run all the reports you need:

• Mailing Labels • Username / Password Instructions • Unit Packing Slip • Scout Accounts Receivable • Unit Invoice

As Unit Administrator, do not forget to delete old users from your online account, and to verify your Address, Phone Number, and Email address.

Meet and Exceed Your Goals Bonus Commission and Council Recognition Program for Units

Meet your Goals: TOP POPPER As a Top Popper, your unit can earn an extra 2% commission. This is on top of the base commission of 34%! Top Popper Requirements to earn the extra 2%:

� Attend council or district training

� Place all popcorn orders online through Trails-end.com

� Place your Scout’s prize orders online through Trails-end.com by October 19th

� Return any unopened cases of Show-n-Sell product on time – October 18th

� Close out your account with the council on time/online – November 17th

Troops may choose to earn a higher commission (more dollars for camp) and receive NO prizes. The entire unit must agree. The “No-Prize” commission is an extra 4% (for a maximum of 40%).

Trail’s End Prize Program Guidelines

1. Prizes earned are based on individual Scout sales. NO combining of sales with other Scouts.

2. Each Scout gets a pin or a patch for selling 1 item. Each Scout may also select one prize from the sales level reached, or from a lower level.

3. Units submit the prize order when they submit the popcorn order on the Trail’s End website;

www.trails-end.com

4. Prizes will be sent to the unit leader’s house (or unit popcorn chairman as indicated on the prize order). The Trail’s End $1,500 winner’s prize will be sent to the Scout’s home.

5. Prizes are subject to demand and availability. If the selected prize is no longer available, Trail’s End

reserves the right to substitute a prize or gift card of equal or greater value.

6. All prize orders are due October 23rd. No prize orders will be accepted after December 1st.

Trial’s End Scholarship Program

Sell $2,500 or more in a Fall Sale, and in addition to his other prizes, a scout earns a scholarship from Trail’s End of 6% of his retail sales in the qualifying sale and in all future sales (up to $1,000 per year), toward his post-high school education. This scholarship program may also be used for the Scout’s mission support in his church. Complete the Trail’s End Scholarship Program Form and send it along with photocopies of each Take Order Form used in the sale to Council Popcorn Staff Advisor Colette Taylor for approval.

The $1,500 Sales prize is a reward from Trail’s End and is in addition to the Council prize the Scout earns. TRAIL’S END SCHOLARSHIP PROGRAM

Program Goal

To encourage the youth participating in the Boy Scouts of America and the Trail’s End Popcorn Sale to reach their full potential.

Program Guidelines 1. Trail’s End will credit to a Participating Scout’s Scholarship account, sale prior to July 1, 1998 at four percent (4%) and

after July 1, 1998 at six percent (6%) of his retail sales made in a given Sale Period, up to a maximum credit of One Thousand and 00/100 Dollars ($1,000.00) per Sale Period, provided the Scout has satisfied the Initial Eligibility Requirements to become a Participating Scout set forth below. A Fall Sale Period is defined as sales from July 1 through December 31 of a given year and a Spring Sale Period is defined as January 1 through June 30 of a given year.

2. The Participating Scout will receive an annual statement from Trail’s End reflecting the amount of his qualifying sales, accumulated credits to his Scholarship account.

3. During the first year of a Participating Scout’s post high school education which satisfied the Academic Requirements set forth below, Trail’s End will make a single payment to the Participating Scout’s educational institution in the amount of the total Scholarship Credit. The payment must be used to defray the expenses charged by the institution to the Participating Scout for (a) tuition, (b) books & materials, or (c) fees.

4. Interest on a Participating Scout’s accumulated Scholarship Credit will commence on January 1 of each year for Fall Sale Period qualifiers and July 1 of each year for Spring Sale Period qualifiers. The annual interest rate will be equal to the prime rate as set by the Wall Street Journal on January 1 of each year.

Eligibility Requirements for Participating Scouts Initial Eligibility Requirements: To initially qualify as a Participating Scout, an applicant must: (a) be a registered member of the Boy Scouts of America; (b) have sold a minimum of Two Thousand, Five Hundred and 00/100 Dollars ($ 2,500.00) in retail sales for a given Sale Period.

Academic Requirements: To receive a scholarship payment the Participating Scout must: (a) between the ages eighteen (18) and twenty-four (24) years; (b) a registered full-time student (as defined by the educational institution) at a nationally or state accredited college or university, vocational, or technical school; and (c ) pursuing studies or conducting research to meet the requirements for an academic, vocational, or technical degree. Verification of enrollment by submission of a class schedule issued by the Registrar’s Office at the educational institution will be required.

Document Requirements: All completed Trail’s End Take Order forms from each Sale Period must be submitted to and accepted by Trail’s End as verification of a Scout’s participation in the Program. Take Order forms must be signed by the Council Popcorn Staff Advisor and submitted to Trail’s End on or before January 15 of each year for Fall Sale Period qualifiers and July 15 of each year for Spring Sale Period qualifiers.

Scholarship Payments: Scholarship credit will be given in accordance with Program Guidelines set forth above, but actual payment will not be made until all of the Requirements are fulfilled. Failure to meet and maintain all of the Requirements will result in a forfeiture by the Participating Scout of all Scholarship credits. NOTE: Scholarships will be awarded without regard to sex, race, color, creed, national origin, religious, or political affiliation. 1. Trail’s End reserves the right to terminate the Scholarship Program at any time. Participating Scouts will be notified of

such termination by Trail’s End. In the event of such termination, Trail’s End reserves the right to apply the credits of each Participating Scout in accordance with the Program Guidelines or to pay to the Participating Scout an amount equal to the credits in his account.

2. Trail’s End may modify the terms and conditions of the Scholarship Program, provided that no such modification shall reduce the amount of Scholarship credits then outstanding for any Participating Scout.

3. The right granted to the Participating Scout to obtain payments under the Trail’s End Scholarship Program is a contractual right and not a guarantee of payment. The Scholarship Program does not give a Participating Scout any interest in or right to any of the funds, property, or assets of Trail’s End other than as a general creditor of Trail’s End.
