CHAPTER 1
PURPOSE
This grading procedures guide is used to standardize the use of ARTS for
tracking the training and progression of all students conducting flight training at
USAACE.
SCOPE AND RESPONSIBLIITIES
The ARTS Grading SOP applies to all Instructors conducting training and
evaluations for non-rated and rated students enrolled in a formal POI at the USAACE.
This SOP is designed to supplement USAACE Reg 350-16. In instances where this
SOP differs the regulation will take precedence. Recommended changes to this SOP
will be forwarded to the 110th Aviation Brigade Standardization section.
GUIDELINES
Anytime flight time is flown or there is a task graded as “N” unsatisfactory
the event is submitted with proper status of complete or incomplete and either cloned
again or submitted as complete.
Checkride evaluations will only be completed on the checkride event or a cloned
checkride event.
When using modifiers for cloning “Add-Trng” will add syllabus time, “Make-Up”
will not add syllabus time and used for administrative clones. See Chapter 2 Cloning for
correct uses of modifiers when cloning.

CHAPTER 2
2-1 LOGGING FLIGHT TIME
The -12 Flight Record Feature WILL be used for all scheduled flights under a
formal POI in ARTS, and can be used for any flight scheduled in ARTS as a back up to
CAFRS/ULLS-AE. This will be in addition to recording flight time in ULLS/AE, and will
be used as a double check of logged flight time in order to ensure students are getting
credit for all flight training.
Access the flight record several different ways; From the ARTS browser by clicking on
RESULTS then FLIGHT RECORDS, from Student Status Big Board, “Flt Rec” TAB,
right click block for the event and open Flight Record, or from a Student Grade Sheet
click on Flight Record in the Details information on the right side of the screen. Flight
record should open for the scheduled flight for that day. Information on the flight record
will reflect the information on the flight schedule; including students, event, aircraft tail
number and default flight time for the scheduled event.

MISSION DATA Section
Only verify or enter information in the Date and Serial Number blocks, If anything
in these blocks are incorrect then enter the correct information, including if you bump to
a back-up aircraft change the tail number. All others leave blank (i.e. Starts, Landings,
Hit Check)
FLIGHT DATA Section
Fill in all blocks, if more than one flight click Add button to add second or third
flight. Flight time is automatically calculated and Night block fills in based on lunar data
(it does not log you as night condition).
AIRCREW DATA Section
Fill in all blocks according to DA PAM 738-751 and AR 95-1. Make sure ADP
code is correct. ADP Code is tied to a student name in ARTS, any edits to ADP code
must be sent to the BN SMO. If a student was scheduled and not flown click the X on
left hand side of page next to student’s name. If you fly a student that was not on the
schedule (i.e. you picked up a third student) click on the Add button and insert the new
student’s name.
TRAINING DATA Section
All blocks must be filled in and correct. The Event must be correct, time logged
in the Actual Duration block, Modifier, and Reason will transfer to the Student Training
Jacket for that event.
2-2 STUDENT TRAINING JACKET
The Student Training Jacket takes the place of all three pages of the FORM 463
“Horse Blanket”. USAACE Reg. 350-16 and USAACE 350-20 will still be adhered to.
Required forms will either be attached digitally to the student’s training jacket or forms
and memorandums that cannot be attached will be kept in a “Smith” folder for each
student in training.
It is important to remember each event in the student training jacket is an EVENT and
not a training day. Multiple events can be completed and graded in one training day.
Flying events are green, simulator device events are blue and academic events are
orange. Unless authorized by the POI DO NOT grade a flight event on a simulator
event or vice versa.

Because of scheduling, weather or aircraft availability, events do not need to be
completed in order but all events must be completed. The primary way of keeping a
student on syllabus and at the correct P3 level when he/she falls behind is “cloning” or
completing an event as a No Grade (NG) when he/she is ahead of syllabus.
GRADING: Grading will be IAW USAACE 350-16. Always verify date and
correct Event for the student being graded. Required Qualities and Written Comments
for individual tasks will be annotated in that task comment block. Bold maneuvers are
the minimum maneuvers required for evaluation.

COUNT: IP’s will input the number of iterations a task was performed by clicking
in the COUNT box for that task.
DM: The DM column will be used for completion of all Demonstration (DM) and
Familiarization (FM) Tasks. IP’s will record the number of iterations performed in the
COUNT box. Unless otherwise specified in the POI/FTG all FM tasks will be performed
a minimum of two times. FM tasks are those tasks that are familiarized and performed
by the student, but are not required to be trained or performed to a P3 level (also known
in older POI’s as Demonstrate and Practice Tasks [DM/P]).

MODIFIER Block: When required the
correct modifier must be entered.
Add Tng- Adds syllabus time.
Make-up time – Does not add additional
syllabus time.
STATUS Block: Complete or Incomplete,
if incomplete give reason below.
REASON Block: If applicable state reason
why the event is incomplete.
PROGRESSION Block: WAIVE only used
when authorized by the Brigade
Commander. PROF. ADVANCE only used
when an aviator is allowed to check early
due to proficiency (i.e. Graduate Course,
UND student).
DURATION: Verify correct time from
Training Data block on the Flight Record
was entered. If not go back and review
flight record to ensure it is filled in correctly.
GRND RUN: Used by MTPC to record and
track ground run time.
OVERALL GRADE: IAW 350-16, No
Grade (NG) will be used when there is a no
fly event, incomplete check rides, if an
event is waived by the Brigade
Commander, Proficiency Advance, or if an
event is not needed because a student is
ahead of syllabus.
CAT HOURS: Act: Cumulative hours logged for that Stage/Phase broken down into
Flight, Device, Academic, and Ground Run. Plan: Syllabus Time up to that training day
per current phase.
TOTAL HOURS: Total hours for all Stages and Phases for the course the student is
enrolled in.

2-3 CLONING
Cloning is completed as a way to keep a student at the correct P3 level and to
account for training not completed. It is not a way to track a student’s attendance. The
following cases are the only situations that require cloning.
EVENT NOT COMPLETE
If syllabus time is not flown and/or the training was deemed by the IP to be non-
effective (i.e. Weather only allowed training in the hover area) that training event was
not completed then that event status will be INC- Incomplete with the proper reason
listed in the REASON Block (i.e. WX, IP, IE, AI) the event is cloned and scheduled for
completion on the following day.
Two or more no fly days in a row. Anytime anything is graded for that event (i.e.
Oral Knowledge during a weather day) those tasks are graded, the event is marked as
INC with reason and cloned. If the second day is a weather day you will grade the tasks
(if any) on the cloned event and make a remark in the general comments block “02 Feb
11, SP did not fly due to WX” and the event will be SAVED not submitted. If next day is
weather you will make another comment in the General comment block below the
previous comment “03 Feb 11, Sp did not fly due to WX” and the event is SAVED again.
Anytime flight time is flown or there is a task graded as “N” unsatisfactory the
event is submitted with proper status of complete or incomplete and either cloned
again or completed.
AWARDING ADDITIONAL FLIGHT TIME
If a student is awarded additional flight time the IP will Clone the last completed
event in the same phase/category as many times as necessary to account for the
additional time. All required Forms will be attached digitally to the first day of the
additional awarded events. If the student was awarded additional time after an
unsatisfactory evaluation or progress evaluation, the IP will go back and clone the event
prior to the IEF or the PER as many times as needed to cover the awarded additional
flight time. The cloned grade sheets will have the Modifier “Add Trng – Additional
Training”, and the IP will grade these as normal.
INSTRUCTOR EVALUATION FLIGHT (IEF)
The IEF is used to record the grade the assigned IP awards the student prior to
his/her end of stage/phase evaluation. The IP will clone the event prior to the EF Check
ride. Select the Modifier Make-Up, select CM – Complete in the status block. The
duration will be changed to 0.0 and in the Overall Grade Block an X will be placed in the
NG box. The IP will grade the maneuvers do his calculation and in the General

Comment block record the IEF number grade. When cloning, the Event Alias will be
modified with “IEF” in front of event name.
PROGRESS EVALUATION RECOMMENDATION (PER)
IAW USAACE Reg. 350-16 a Progress Evaluation can be made anytime a flight
commander feels the student is not making satisfactory progress or mandatory if the
student receives three overall daily “U’s” out of five consecutive graded periods. The IP
will clone the last event Select the modifier “Make-Up”, select “CM – Complete” in the
status block. The duration will be changed to 0.0 and in the Overall Grade Block an X
will be placed in the “U” box. In the General Comment block type the demonstrated
hour level of performance for that phase. When cloning, the Event Alias will be modified
with “PER” in front of event name.

2-4 PROGRESS EVALUATION (PE)
Progress Evaluations count toward syllabus time. The IP will not clone and the
PE will be graded on the next available event.
2-5 END OF STAGE EVALUATIONS
End of Stage Evaluations will be graded and completed IAW USAACE 350-16.
In the General Comments block the evaluator will place numerical grade. For Graduate
Flight courses an “X” in the N column equals a “U” and a “X” in the C column equals a
“S”, and no numerical grade is required in General Comments block.
SP performs at the 8 hour level

2-6 INSTRUCTOR PILOT CHANGE:
If there is a change in assigned Instructor Pilot, the new IP will make a comment in the
General Comment Block (i.e. IPC due to previous IP breaking his hip)” on the first event
that the new IP is assigned. Event will not be cloned for IPC.
2-7 FLYING AHEAD OF SYLLABUS
When flying over syllabus it will be necessary to complete an event to adjust the
P3 hours on a student. When the student is at least one full syllabus event ahead the
instructor will NG the next event to keep a student at the correct P3 Level. The IP will
not enter grades for this event because the tasks were graded during the previous
events. In the Duration block time will be changed to 0.0, and an X placed in the NG
block. Comment typed in the General Comment block stating “AH” for Ahead of
syllabus.

2-8 CLONE MADE IN ERROR
If a clone is made in error the comment “Clone made in error” will be placed in
the General Comment block and contact the unit SMO or ARTS Help Desk to have the
event removed.
2-9 SIGNATURES
Students and Instructor pilots will sign gradesheets under Gradesheet Review by
using CAC Card and entering initials. Foreign IP’s that don’t have access yet can just
enter initials. If at any time Kiosk mode is not working or students cannot digitally sign
gradesheets for extended periods of time a backup signature sheet will be kept by the
IP in the students “Smith” file for record keeping purposes. Below right is an example
of backup form.

CHAPTER 3
FORMS
All forms and records will be kept IAW USAACE 350-20. A student file will have
to be kept for all forms that are not able to be attached digitally to a student’s training
jacket.
3-1 USAACE Form 396
The appropriate digital USAACE Form 396 will be attached to the student’s
individual training jacket for the appropriate event the student is either removed or
placed back in training. Whenever attaching any form the IP will make an appropriate
Write-up signifying the disposition of the associated USAACE Form 396.

3-2 USAACE Form 74
USAACE Form 74 will also be attached digitally to the appropriate event in the
student’s training jacket. An associated Writeup will be made annotating that the Form
74 is attached.
