Concept of the Generic Key Figure Monitor (I)

Typical Use Cases The Generic Key Figure Monitor supports managers in monitoring and supervising key

figures and key performance indicators (KPI). The manager can group this information in

categories e.g. strategic, tactical, and operational or he can compare single values

easily.

The information is displayed on one page in a structured format to provide the managerwith a quick overview of the overall situation in his area of responsibility, and is able to

perform the required follow-up actions in a timely manner.

Information from different source systems, such as mySAP ERP, SAP Business

Information Warehouse, or external systems are integrated.

Managers who want to continuously improve their business processes get thepossibility to track KPIs*) and to perform root-cause analyses.

Even if you are not in the office you still get the information about exceptional situations

(e.g. KPI that exceed their threshold value) through the SAP Alert Framework on your

mobile device.

Benefits To aggregate relevant data from multiple ERP, BI and shop floor systems on a single

Characteristics

The Generic Key Figure Monitor is an integral part of the following roles:

Plant Manager 

Production Supervisor 

Business Unit Analyst

Manager Self Services

HR-Executive

The information that is displayed in the Generic Key Figure Monitor is aggregated and

can come from many different sources which can be SAP as well as non-SAP systems .The raw data reside in the source system to reduce data redundancies as much as

possible.

The Generic Key Figure Monitor enables you to drill down from the aggregated

information to the details in the source system

The information from the source systems can either be pushed or the Generic KeyFigure Monitor pulls the information based on batch job schedule.

Usability features

The aggregated information is displayed in a table with additional graphical elements

(traffic lights and arrows) for each individual KPI*).

 You can access the following actions directly from the Generic Key Figure Monitor:

Get quick overview of the overall situation in your area of responsibility

Drill down into details for root cause analysis

Analyze a key figure history and share comments regarding specific KPIs*) with

your colleagues

Personalize KPI*) descriptions, threshold values and alerting options

Trigger the recalculation of individual KPIs*) values

Organize your KPIs*) in views, groups and comparisons

 You can access all functions at any time irrespective from the update schedule of the

respective KPI*)

Personalization features  You can decide which KPI*)-related information is relevant to you and you can hide

unneeded columns

KPI*)-related personalization includes

Descriptions

Threshold values(that control the behavior of the status indicator red, green or yellow traffic lights)

Alerting options

(that control if and when you will receive an alert in the portal or on your mobile

device to inform you that a KPI*) has exceeded its thteshold value)

Key figure views

(Lists of KPIs that belong together thematically)

Grouped key figures

(that represent an aggregated status of the underlying KPIs*))

Comparison key figures

(that displays the ratio or the difference of two selected KPIs*))

Prerequisites for the usage with SAP systems To deploy the Generic Key Figure Monitor you need at least

an ECC 6.0 system on a NetWeaver 04s platform

an SAP Enterprise Portal NW04s

Business Package Common Parts The Business Package Common Parts needs to be imported and configured in your

SAP Enterprise Portal. There you need to

define the connection between the Enterprise Portal and the ECC system

Maintain the context IDs for all Generic Key Figure Monitors that you will use in

this portal assign users to the portal role and maintain the user mapping

For more details refer to the documentation of the Generic Key Figure Monitor inthe ERP-Documentation in the area "Business Packages/Functional Packages"

To use the Generic Key Figure Monitor in a distributed system landscape (that also

includes SAP BW systems) you have to establish the system connections using thestandard SAP tools (e.g. definition of logical systems, creation of RFC destinations, …see also configuration description on the next slide)

Prerequisites for the usage with non-SAP systems

External (non-SAP) systems need to be able to collect data,

aggregate it, and finally send this aggregated information to the ECC

system (e.g. via RFC-call)

Also it is necessary that these external systems offer a system

access via URL*) to display the key figure details for root cause

analysis

2) Configure the key figure personalization (I)

Configuration of personalized ERP key figures In the IMG activity "Define Key Figures" create a key

figure with the personalization settings "Can be

personalized…"

In the IMG activity "Define SAP ERP Key Figures that

can be personalized" add this key figure (technical

name) to the list and maintain the entry fields

Techn. Name= technical name of the key figure that you want to

personalize

Selection

= technical name of the personalized select option (input

parameter) in the ABAP report

Personalization Application

= Application in the personalization hierarchy Field Name

= Field name that is assigned to the personalization

2) Configure the key figure personalization (II)

1. Maintain the personalization hierarchy and the personalization application(IMG activity "Edit Personalization Hierarchy")

2. Maintain the personalized characteristics (= entry field

values for the respective user) in the personalization

dialog that is assigned to this personalization application

3) Adopt the key figure reports in the source systems

Configuration of the key figure feeders (reports) in the ECC system Key figure feeders are required to pull the relevant key figure information from the

source system (e.g. ABAP reports or BW queries)

These feeders have to be defined and configured in the ECC system by the system

administrator before he creates the key figure definitions

4) Schedule the key figure batch jobs (I)

Schedule batch jobs to regularly update the key figures Prerequisites for R/3, ERP and BW KPIs*) which have to be maintained in the

IMG activity "Define Intervals for Updating Key Figures"

 You have defined update intervals

Prerequisites for R/3, ERP and BW KPIs*) which have to be maintained in the

IMG activity "Define Key Figures"

For each KPI you have to maintain a Source System

(the system where the KPI information is collected and aggregated)

To each KPI you need to assign an ABAP report and the corresponding report variant

(a combination which is unique for each KPI)

 You need to assign an update interval (which you have maintained before) to each KPI

4) Schedule the key figure batch jobs (II)

Schedule batch jobs to regularly update the key figures The report KFM_VALUE_DET_SCHEDULE triggers the update of the KPI according to their

interval assignment

Create a variant for the report KFM_VALUE_DET_SCHEDULE e.g. for the interval "MP01" (hourly)

The name of the variant should be descriptive (e.g. "MP01" like the name of the interval)

4) Schedule the key figure batch jobs (III)

Schedule batch jobs to regularly update the key figures Create a batch job for the report KFM_VALUE_DET_SCHEDULE with variant "MP01"

Schedule this batch job with the period "hourly"

Every hour, when the batch job calls the report KFM_VALUE_DET_SCHEDULE with variant

"MP01". All key figures that are assigned to this interval will be updated.

5) Maintain user authorizations (I)

Maintain authorization in the ECC system The system administrator can use roles and authorization profiles to maintain the

credentials for users or user groups

 You can maintain authorizations for the following activities:

Display – The user sees the KPI*) in his catalog and can assign it to a key figure view

Change – The user can personalize the KPI*) in the portal

Refresh – The user is allowed to recalculate the key figure to update the key figure cache

Analyze – The user can drill down into the details of the key figure

User activity: Working with Key Figure Views

 You can create additional key figure views as described on the previous slides. For

each view you can decide which key figures are displayed. This option helps you to

organize your key figures as you can create individual views per plant, cost center,

HR area, …

 You can switch between the individual views with the drop-down box in the monitor.

Depending on your authorizations you have the following possibilities:

Personalize Key Figure (a)I.e. change descriptions, threshold values or alerting settings

 You can access this functionality from the key figure context menu or by clicking on the status icon

Display Details (a)Jump directly in the source system for root cause analysis

 You can access this functionality only from the key figure context menu but it might be deactivated by your

administrator

Display Trend (a)Shows historical key figure values as well as its historical threshold values

 You can access this functionality from the key figure context menu or by clicking on the trend icon

Recalculate (b)The column "Created at" indicates the last update of the key figure. You can trigger a recalculation by clicking

on the "Recalculate" link in the column "Action". This activity updates the value in column "Created at".

Functionalities that are independent from any authorizations:

Personalize Table (a)In the personalization dialog you can decide which columns shall be shown or hidden and the order of

appearance. You can start the personalization dialog with the "Personalize Table" ("Tabelle personalisieren")

link.

Refresh (b)The Refresh reads the latest key figure values from the buffer table in the ECC backend system, it does NOT

trigger a recalculation in the key figure source system.
