To see what is going on, you need to turn on the view inside Word so that you see the paragraph “mark”, the tabs, spaces, etc. It might well look alien to you, but this is what you will need. Click in the menu: <File> <Options> <Display> <Show All Formatting Marks> <OK>. You will see a Paragraph Mark at the end of each paragraph. You will also see what word calls a “manual line break” (it used to be called a “line feed”) which looks like the arrow on the <Enter> key. INSTRUCTIONS FOR USE:

The following are instructions for use in Word 2010 and I believe Word 2003 is similar. For earlier versions, you will have to use Google to learn how to accomplish the same thing. I’m taking you more than halfway, so roll up your sleeves.

This Word document uses paragraph formatting. Each paragraph contains formatting for layout, so just hitting the <Enter> key might well destroy what the template accomplishes. To see what is going on, you need to turn on the view inside Word so that you see the paragraph “mark”, the tabs, spaces, etc. It might well look alien to you, but this is what you will need.

Now, this document is formatted with two columns, so when the typing gets long enough, it jumps up to the next column. Just below the previous paragraph is a <Column Break> which forces the next column to begin. I can put one in by using the menu: <Page Layout> <Breaks> <Column Break>. I can also put in a Page Break the same way, which pushes me to the next page (this is the way it’s supposed to be done, rather than putting in a bunch of empty paragraphs to make it roll over).

After you are done looking at these, please make a copy of this document to serve as your actual inventory, saving this version to keep the instructions. On the next page, I’ll cover how to put your scanned dinar images into this document.

When you are ready to begin, open the copy (your actual inventory) and delete everything from the beginning up to but not including the first dinar image. Leave the headers in place, but EDIT THEM to make them reflect your inventory.

Now, let’s look at inserting your images.

Dinar: 25,000 IQD, 15 Series, 6545478 to XXXXXXXIf you scroll down to the next page (and assuming that you have already done <Show All Formatting Marks>, you’ll see that there is a dinar image of the serial side of a 25,000 IQD note and its serial number, translated from “Eastern Arabic” to “Western Arabic”, which is what we in North America use for numerals. The image doesn’t have a “manual line break” after it because it is sized to fill the line. After the serial there is a line break to move on to the next bill image. There are SIX images and their serials per page, and then there is a “page break” to move to the next page.

If you double-click on the first bill image, you should see that Word opens up a toolbar or a menu that allows control of the image. You should see that the image size is 4.25” wide by 1.91” high. The size was chosen to make it fit in the column. This is a dummy image, copied from a dinar sales site. The same image was use throughout this example document and will need to be replaced by your actual bill images.

You will use a scanner (or digital camera) to capture images of your bills, one bill per picture or image. If you first arrange the bills in serial order (use the Eastern Arabic key on the last page), you can have them in order when you put them in the document. If a scan is vastly bigger than the bill itself, maybe open the bill in an image viewing program and see if <Edit Image> is available. You could use the editing command <Crop> to set the boundaries to just the bill. See the instructions for the program you choose.

To insert the first image, click (left-click) once on the first bill image below. Now choose the Word menu command to <Insert> <Picture>, browse to where the scan images are located, select the first bill in your series, and select

<OK>. It should replace the first dummy image below. Double-click on the new image and set the width to be 4.25”, and the height should adjust correspondingly. Type in the actual serial below the bill. First one done!

Continue replacing each “dummy” image and typing the actual serial until you have a page completed (six bills). You are now ready to start a new page.

You will see on the second page that I just have the six dummy serials with no images. Place your cursor at the front of the first dummy serial number, insert the seventh actual bill image and type the serial for that bill, replacing the dummy serial. Remember that after each actual serial will be a “manual line break” and there will be a “page break” after each set of six bills and serials.

At the end of the document, you’ll see that I have a scan of the back of the bill and a table showing the Eastern and Western Arabic numerals. You can leave the table there, as it will be there in case a bank person wants to read the serial themselves.

When done with a series of all the same bills, double-click on the header (where it says “Dinar: 25,000 IQD, 15 Series, 6545478 to XXXXXXX”). You’ll see that to the left of the serial are two digits under the line, and I’m calling that the “series”. Edit the header to reflect the Series and the Range of the serials you have in this document.

I recommend you not try to include different sizes of bill (25,000 and 1,000 and 500, etc) unless you will cash them all in at once; don’t try to place too many bills in one document unless they you are SURE that they will all cash in at once. Print out two copies of your completed document in color.
